The gig.
Reporting to the Director of the Project Management Office (PMO), the incumbent will have a passion for due diligence, contract management and procurement processes. The ideal candidate would have a thirst for learning and very detail-oriented. The role will support the administration efforts of vendor management and will support the execution of numerous vendor-related projects that span the business. You will support the whole vendor management process such as collection, implementation, maintenance and renewals of all vendor contracts, including maintaining the vendor details repository. You will work closely with the rest of the PMO and Vendor Management (VM) team, as well as Finance, IT and Security teams and external vendors to ensure vendor compliance and accurate budgeting. You will craft and execute project deliverables, escalating appropriately. You will also be responsible for regular project and vendor reporting to superiors and external vendors as well as identification of risks so that as a team, we can mitigate appropriately. 

Responsibilities

  • Be the first level of response and intake management for all VM requests.
  • Maintain our Security and Legal Due Diligence database, reviewing all vendor contracts in detail on a regular basis. 
  • Develop draft new software requirements and communications for approval with vendor management lead for the project. Synthesize stakeholder input, receive feedback and review and validate as required.
  • Conduct the first level of analytics for all contract management, vendor comparisons and costing.
  • Ensure all deliverables are met on time and of the highest quality & polished in Q4 formatting.
  • Set-up meeting cadence / schedule, take minutes for meetings and be responsible for appropriate follow-up under the direction of the project / vendor team.
  • Develop draft business cases, KPIs, scope and key outcomes with the guidance of the lead(s).
  • Manage the standardized workplans for each vendor implementation. 
  • Draft weekly status reports.
  • Develop the preliminary drafts of all training, implementation, change management and knowledge transfer documentation with guidance from the vendor lead, escalating any identified issues and risks in a timely manner.
  • Deliver on assigned  tasks within agreed-upon time, cost, and quality parameters.
  • With guidance, act as liaison between external vendors and internal stakeholders.

Required Skills, Education & Experience

  • Post-secondary education in Business, IT, or other relevant field combined with combined course work in analytics, procurement or vendor management.
  • 2 + years of relevant experience in a business / project-based environment with strong IT or digital components and team interdependencies.
  • In-depth knowledge of information gathering, synthesizing stakeholder ideas, and dissemination techniques in order to help prepare and disseminate written materials.
  • Experience in client services or vendor relationship management is an asset.
  • Understanding of stock exchanges, IT vendors and data vendor management is considered an asset.
  • Strong communication skills with the ability to communicate status and escalate project updates / risks to project leadership.
  • Good command of the English language, verbal and written, with a keen ability to be concise, articulate conceptual ideas, technical information, project objectives, schemata and other information with professionalism for follow-up and instructions.

  • Can prioritize workload when multiple managers require deliverables at the same time. 
  • Can handle failure or negative outcomes and rise above on projects & situations. 
  • Has a strong ability to communicate status and escalate project updates / risks to project leadership and “manage up” and make the leader aware of risks / workload.
  • Is highly skilled in the use of G-Suite and Microsoft Office products.
  • Can develop and maintain strong working relationships with all Q4orce team members.
  • Will be present in the office during normal business hours, attend regular meetings with team members, sometimes all day sessions and reasonably available to work and respond to issues outside of regular business hours.
