Property Management Admin Support SpecialistThis is a fast-paced role with changing priorities, and the ability to perform several tasks concurrently with ease and professionalism is necessary.The ideal candidate will be working closely with the Property Managers and must be flexible to work with changing priorities and variable tasks.Weigel Property Management prides themselves on customer service – our focus is serving our condominium communities.Job DutiesAdministrative duties such as preparation and distribution of filing, typing of, correspondence, site inspections, manager’s reports, budgets, minutes (dictated or provided), notices, budgets, AGM’s, forms, etc.Photocopying as required, prepare bulk mailings to owners.Assist the Manager in the preparation/assembly of the monthly manager’s report and filing same for each property in the Manager’s portfolioPrepare and update after-hour emergency (data) information sheets (as per the Manager) for the building, i.E.

Board member names, phone numbers, contractor names and phone numbers etc.Prepare electronic purchase orders when there is an emergency and the manager is out of the office / on vacationReport concerns, complaints or inquiries received from residents to the ManagerBe required to issue correspondence on behalf of the Corporation as directed by the Property Manager or under his/her own initiative when necessary related to rules infractions, arrears, charge backs following maintenance etc.Will assist in the preparation for the AGM and if required other owner’s meetingsCommunicate and enforce the Condominium Act, Declaration, Bylaws and Rules under the direction and guidance of the Property ManagerThe candidate must be comfortable communicating (both in verbal and written form) with clients, client suppliers, vendors, and banking contacts.Other duties as assigned from time to time as are consistent with a small team within a Property Management office.RequirementsHigh-school diploma, GED or other equivalentAble to effectively communicate both verbally and in writing.A well-defined sense of diplomacy, including conflict resolution, and people management skillsComputer literacy, including effective working skills of MS Word, Excel and e-mail requiredAble to build and maintain lasting relationships with applicable departments, contractors and key business partnersAbility to follow through and complete overlapping projectsGood organizational, time management and prioritizing skillsHigh level of critical and logical thinking, analysis, and/or reasoning to identify underlying principles, reasons, or factsAbility to interpret and implement company policies and proceduresGood organizational, time management and prioritizing skillsEffective communication skills with individuals at all levels of the organizationOnly those candidates selected for an interview will be contacted.
