Bilingual Workplace Services Group Coordinator

The Workplace Service staff are an integral part of the Workplace Services Team and is a pivotal force in the management of Facilities and Office Services-related activities. The responsibilities of this position include but are not limited to performing various duties within office services including Mailroom duties, hospitality and meeting services and supplies/equipment maintenance.

Your key responsibilities:

  • Manage a high quality, customer focused Executive/Conference room service, providing enhanced support for state-of-the art rooms
  • Set up meeting rooms based on customers’ needs to ensure expectations are met
  • Handle on-floor conference room activities, both visually and by means of the reservations system, being aware of meeting start / end times, attendees in the room, food and beverage orders, etc. Advise the appropriate staff members of changes in meeting room status, special requests, etc.
  • Participate in scheduled team meetings, reviewing upcoming events, discussing relevant logistical matters, and identifying any potential challenges with the operation
  • Complete regular housekeeping checks throughout the Executive/Conference rooms to deliver a seamless meeting room experience to all internal and external users
  • Ensure the rooms are managed to a high standard, and report any deficiencies to the WSG Manager
  • Liaise with our designated vendors to fulfill customers’ catering needs
  • Ensure catering is placed on time in appropriate meeting rooms, and clean room after meeting/event
  • Keep inventory for kitchen supplies and beverages, and orders when needed (coffee, tea, soft drinks, etc.)
  • Code invoices for all catering to account payable
  • Ensure hub has appropriate supplies
  • Provide support and back-up to Central Service staff

To qualify, candidates must have:

  • A Sound judgment regarding confidential and sensitive matters
  • A positive attitude with strong problem analysis/solving abilities
  • Effective listening and excellent time management skills.
  • Knowledge of Word, Excel, PowerPoint, and Outlook.
  • An Ability to work under pressure and in a busy team environment.
  • Strong interpersonal skills including oral and written communication.
  • Strong organization skills with an attention to detail and must be able to project a positive and professional image
  • Problem solving abilities.
