Administrative Assistant, Reservations

University of Ottawa

This is a Contract position in Ottawa, ON posted August 26, 2020.

Salary (Grade: 06) Hiring salary range $46107$58,240

Position Purpose

Coordinates and manages sports facility reservations and ensures the terms of rentals agreements are fulfilled. Maximizes profitability and use of facilities and services. Provides general information on services offered. Performs related administrative and financial tasks, e.g., collect rental and other fees, prepare paperwork, follow up on files, issue contracts, validate payments, collect amounts owing and reconcile accounts receivable.

Essential Qualifications

Administrative and accounting knowledge, normally acquired through postsecondary training, or equivalent experience
Experience interpreting and applying policies and procedures
Customer service experience and concern for customer satisfaction
Experience using computer systems and software, including Windows, word processing applications, spreadsheets, databases, email, electronic calendars and the internet
Knowledge of large financial system; knowledge of facility management software considered an asset
Knowledge of sport requirements
Good organizational skills, including the ability prioritize, manage multiple tasks simultaneously and work well under pressure while meeting strict deadlines
Ability to work in a fast-paced environment, both independently and as part of a team; willingness to help others and cooperation; flexibility and attention to detail
Excellent communication and interpersonal skills, initiative, tact, diplomacy, discretion and reliability
Bilingualism – French and English (written and spoken)
